01 · Policy engine

One policy per worker type. Configurable to the actual rules.

Permanent employees accrue 1.75 PL per month. Interns get a flat 5 days. Contracts get whatever your contract says. The policy engine treats each worker type as a first-class configuration — accrual rates, carry-forward rules, encashment, probation period adjustments.

Change a policy once, and from the next accrual cycle, everyone on that policy gets the new rules. No reconciliation, no per-employee recalculation.

  • Per-worker-type policies — Permanent, Intern, Contract, Part-Time get their own
  • Accrual frequencies — monthly, quarterly, annual, lump-sum on joining
  • Probation rules — locked, accrued-but-unusable, or fully usable
  • Carry-forward & encashment — configurable caps, calculated at FY end

02 · State-wise holidays

Onam in Kerala. Pongal in Tamil Nadu. Karnataka Rajyotsava in Karnataka.

Indian holidays don't work like American ones. Karnataka observes Karnataka Rajyotsava on 1 November — Maharashtra doesn't. Kerala has Onam — Tamil Nadu has Pongal — Bengal has Durga Puja. The calendar is automatic per employee's work location.

All 28 states and 8 union territories, updated annually. Optional regional holidays (each employee can pick 2-3) supported. Built ground-up for India, not imported from a global template.

  • 28 states + 8 UTs — gazetted holidays per state, updated annually
  • Optional holidays — employees pick 2-3 per policy (e.g. Eid + Christmas)
  • Restricted holidays — defined at policy level, deducted from CL pool
  • Multi-entity — different gazettes per legal entity if you have multiple

03 · The sandwich rule

Sandwich leave. The Indian quirk most HRMSes get wrong.

If an employee takes Friday off and Monday off, the weekend in between is sandwiched — and counted as leave by default, per most Indian HR policies. It's a 4-day deduction, not a 2-day one. Foreign HRMSes don't model this; they treat the weekend as free.

hrPLANR knows the sandwich rule because India does. Configurable per policy — you can switch it off for engineering teams, on for shift workers, mid-day variations supported. The rule applies the way your policy says it should.

  • Default: ON — applied per the standard Indian rule
  • Per-policy override — switch off for teams where weekends shouldn't sandwich
  • Holiday-adjacent sandwich — same rule applies around gazetted holidays
  • Employee sees the math — request form shows total days deducted, including sandwich

Sandwich rule applied: Sat 1 Nov + Sun 2 Nov fall between two PL days, so they count as leave. Total deduction: 4 days (2 PL + 2 sandwiched). Off in policy: deduction would be 2 days only.
04 · Apply & approve

Request from the app. Approve with the context.

Employee opens ESS, picks dates, sees the math — including any sandwich days. The request lands in the manager's queue with team-calendar context: who else is already on leave, what coverage looks like, whether anything blocks the dates.

Manager approves or rejects in two clicks. Balance updates. Calendar reflects. Payroll knows. No "let me check with HR" loop.

  • ESS-driven requests — mobile or web, with balance visible
  • Team calendar shown — manager sees coverage gaps before deciding
  • Multi-level approval — configurable (manager only, manager + HR, manager + dept head)
  • Auto-revert — if a request lapses past the start date, system handles it

05 · The AI

AI forecasts leave demand. Before Diwali, not during.

Three weeks before Diwali, AI looks at last year's pattern, this year's pending requests, and your team coverage rules. The output: "Engineering is going to be at 31% coverage on Nov 3-4. Plan now."

Same for year-end (Christmas to New Year), Holi week, Eid, summer school breaks for parents. The festival calendar's hard-coded — but the forecast pulls from your team's actual data.

06 · F&F encashment

Leave balance follows the exit. Encashment, calculated.

When someone resigns, the leave balance at exit becomes part of the full-and-final calculation. Encashable PL × per-day-cost = the line item that lands on the F&F statement. Sandwich-adjusted, carry-forward-capped, tax-handled automatically.

You don't recalculate manually. Payroll doesn't recalculate manually. The exit-clearance team sees the number that everyone else sees.

  • Auto-calculated at exit — pulls encashable balance from the policy
  • Per-day cost — basic + DA per policy default (configurable per company)
  • Sandwich-adjusted — final balance reflects sandwich rule history
  • TDS applied — leave encashment taxed per Section 10(10AA) of the Income Tax Act

Leave doesn't sit alone.

Attendance reads the same balance, Payroll computes from it, ESS shows it, F&F draws from it. One number, every system, every audit.

One balance. Everyone trusts the same number.
